PEO Matchup

How to Switch PEOs

A step-by-step plan for changing PEOs without payroll or benefits gaps.

Switching is common when service, cost or platform stops fitting. A clean move takes planning, usually 60 to 90 days.

Steps

  1. Read your current contract for notice period, termination fees and data access. See contract terms to check.
  2. Collect quotes from two or three providers and ask for an implementation timeline.
  3. Time the move for a benefits renewal or quarter start to limit deductible resets.
  4. Request payroll history, year-to-date wages, tax account details and employee records from your current PEO.
  5. Confirm who files final quarterly and year-end tax forms for the period you were with each PEO.
  6. Tell employees early about benefit carrier, ID card and portal changes.

Questions

Can I switch PEOs mid-year?

Often yes, but it can reset health plan deductibles and out-of-pocket accumulators, so many companies switch at a plan renewal or the start of a quarter.

Will my employees' pay be interrupted?

It should not be if the cutover is planned. Agree on a payroll cutover date, tax account transfers and benefits start date in writing.
